What is Equal Access (EA)?

EA is the identification of individuals who need extra help (an accommodation) to access or maintain services resulting from a disability, learning, or literacy issue. How do I create an Equal Access (EA) Plan in ACES.online?

  1. From the Summary - Client page, go to the Details drop down box and click the Equal Access link to bring up  the Equal Access page.
  2. Click the Update link on the Equal Access page.
  3. On the ACES Update Equal Access page update the following required fields:
  • Select either the YesNo, or Declined to answer radio button for the mandatory question Does client want to hear about Equal Access Services?  
  • If the Yes or Declined to answer radio button is chosen, then all questions in the Equal Access Plan section must be answered.
NOTE: If the Yes radio button is selected, text will auto populate in a textbox below the question. Workers can change this text to meet the client's EA needs.
  1. Click the Next button.

How do I access or update a client's Equal Access (EA) Plan in ACES.online?

NOTE: The Last Update Date: reflects the user's review date only if there is a change made to the plan.

To access or update a client's EA plan in ACES.online take the following steps:

  1. From any Assistance Unit or Client level screen, click on theImage of warning sign and Equal Access textlink ​and the Equal Access Plan displays on the Equal Access - Client page.
  2. Click the Update link to update or complete the EA Plan. 

NOTE: If the Yes radio button is selected, text will auto populate in the textbox below the question. Users can change this text to meet the client's EA needs.

  • To reset answers to the previously saved version of the EA plan click the Reset button.
  • To cancel, click the Cancel button.
  1. Click the Next > button.
NOTE: If the client is not active, message Cannot update Equal Access. Client is not active head of household or is less than 16 years old displays.

How do I create an Equal Access (EA) Plan in ACES 3G?

  1. From the Case Actions page click the Start ChangesStart Interview, or Process ER link.
  2. From the Navigation tree click the client's name you want to create an EA plan for to display the Client Demographic page.
  3. In the Identity section of the Client Demographic page, select Yes (Y) or Declined to answer (D) from the drop down menu under Equal Access.
  4. Click on the EA Plan link. 
  5. Select the Yes, No, or Declined to answer radio buttons to answer the questions in the Equal Access Plan box.
NOTE: If the Yes radio button is selected, text will auto populate in a textbox below the question. Workers can change this text to meet the client's EA needs.
  1. Click the Save button.
  • To cancel this action click the Cancel button
  1. On the Eligibility Details page, click Commit Changes

How do I access or update a client's Equal Access (EA) Plan in ACES 3G?

  1. From the Case Actions page click the Start ChangesStart Interview, or Process ER link for the ongoing Benefit Month.
  2. From the Navigation tree click the client's name you want to access or update an EA plan for to display the  Client Demographic page.
  3. Click the EA Plan link in the Identity section to display the Equal Access plan pop up box. 
  4. Update or complete the EA Plan and click the Save button.
  • To cancel this action click the Cancel button
  1. On the Eligibility Details page, click Commit Changes

How do I print an Equal Access (EA) Plan?

This function is only available in ACES.online.

To print an EA plan:

  1. From any assistance unit or client level screen, click on the Equal Access link.
  2. Click the printable version link on the bottom of the Equal Access - Client page.
  3. Click the Print button on the Printable Equal Access Plan page.
  4. Click the Close button to exit.​
