What is a saved session?

A saved session in ACES is a temporary storage or holding area for case information.

A saved session can be used to hold data while retrieving data for another client.

A saved session can also be used if a user needs to temporarily leave their computer.

What happens to a case if the system shuts down unexpectedly?

If you are in a case and your computer shuts down unexpectedly or your session closes without warning, the case is automatically placed into Saved Session for ACES 3G case actions or Scratch Pad Area (SPA) for Mainframe processing. What is the Saved Session page?

The Saved Session page displays specific information about the Saved Session hold such as:

  • The hold Reason and code.
  • The Function that the user was in when the case was held.
  • The Benefit Month the case was in when the case was held.
  • The User ID of the person that was in the case when the case was held.
  • The Created date and time
  • The Last Change date and time.

How do I put a case in Saved Session in ACES 3G?

To put a case in Saved Session, click the Place session on hold icon Picture of small computer disc at the top of the page.

NOTE: If you exit the interview using the X in the upper right hand corner of your browser or click the Cancel Session icon picture of red circle with a white dash in the middle, the case is NOT placed in Saved Session and all newly entered information is lost.
NOTE: All cases placed on hold are released during the daily overnight batch run.

When is information saved to Saved Session?

Case information is saved to Saved Session in several ways:

  • When the system goes down.
  • When the system times out.
  • When the system has an abnormal end (ABEND).
  • When an emergency issuance is authorized.
  • When a user manually saves the data to Saved Session.

How do I take a case out of Saved Session in ACES 3G?

If you save a case using Saved Session while in an ACES 3G function, the Saved Session page displays the next time you access the case. You must access the case in the same function and benefit month that the Saved Session was created in.

NOTE: When attempting to access a case in ACES 3G in the wrong function or benefit month, Error Message Requested Case Action [function-mm/yyyy] cannot be processed until held SPA is processed will display.

To take a case out of Saved Session, complete the following steps:

  1. From the Case Actions page, select the appropriate function, such as Start Change or Start Interview and Benefit month.
  2. From the Saved Session page, take one of the following actions:
    1. Click the Resume Saved Session button to remove the Saved Session and continue updating the case; or,
    2. Click the Start New Session button, to delete all the data previously entered and start over; or,
    3. Click the Cancel button to return to the Case Actions page.

Who can remove a Saved Session in ACES 3G?

Only the user that placed the case in a Saved Session can resume the saved session.

Users with the following unit types have the option to Start New Session

  • Supervisor of FC/AS/JRA Worker (17)
  • Supervisor of MEDS Shared (76)
  • Regional Financial Supervisor (86)
  • Super User (99)

If I put a case in Saved Session using ACES 3G, can I remove the Saved Session in ACES Mainframe?

A case put in Saved Session using ACES 3G can only have the Saved Session removed through ACES 3G.

What is the HELD screen?

The HELD screen displays specific information about the Scratch Pad Area (SPA) hold such as:

  • The SPA Reason Code. See <F1> Help.
  • The user ID of the person that was in the case when the case was held.
  • The option that the user was in when the case was held.
  • The benefit month the case was in when the case was held.
  • The terminal ID.
  • The date the case was held to the SPA.

When is information saved to Scratch Pad (SPA)?

Case information is saved to Scratch Pad Area (SPA) in several ways:

How do I remove a case from Scratch Pad Area (SPA)?

If you saved a case using Scratch Pad Area (SPA) in ACES Mainframe, the HELD screen displays the next time you access the case. You must access the case in the same function and benefit month that the SPA was created in.

NOTE: When attempting to access a case in ACES Mainframe in the wrong function or benefit month Edit 0472 - REQUESTED BNFT MO CANNOT BE PROCESSED UNTIL HELD BNFT MO SPA IS COMPLETED will display.

To take a case out of SPA, take the following steps:

  1. From the AMEN screen, complete the following fields:
    1. Selection field: Enter the option the SPA is held in. See <F1> help.
    2. AU ID or Client ID field: Enter the Assistance Unit or Client ID.
    3. Benefit Month (MM YY) field: enter the benefit month the SPA is held in.
  1. From the HELD screen, take one of the actions:
  • <TRANSMIT> to resume the SPA and continue updating the case; or,
  • Enter [Y] – Yes in the Del field and press <F24> to delete all the data previously entered and start over: or,
  • Press <F3> to cancel and return to the AMEN screen.

Who can remove a case from Scratch Pad Area (SPA)?

Only the user that placed the case in a Scratch pad Area (SPA) can resume the saved session.
